Volunteers

Volunteer Management,
Wired Into Your CRM

BetterUnite is volunteer management software built into the donor CRM. Publish signup pages, schedule shifts with capacity limits, track hours for reporting and grants, and send reminders automatically. Volunteers live in the same database as donors, so a volunteer who gives shows up as one person, not two.

Volunteers are contacts,
not a second database
to keep in sync.

01Volunteer Signup Pages

Signup pages volunteers actually finish.

Branded pages listing every job with live shift availability, plus a three-step signup with no account needed. Optional donation, pledge, and DAF buttons catch the people who cannot attend.

  • Collect waivers on the page itself, with conditional forms that change by job
  • Reserve capacity for a team, family, or corporate group, then share a link so members fill their own slots
  • Accept stock gifts alongside donations, pledges, and donor-advised-fund gifts when someone cannot serve

02Shift Management

A visual calendar instead of a signup spreadsheet.

Click any calendar slot to create a shift, then set recurring patterns and edit one occurrence or the whole series. Each shift carries its own capacity cap, with day-of check-in logged.

  • Map each job to its shifts in one job-to-shift matrix
  • Track each volunteer through six check-in states from a per-slot CHECK IN button
  • Send automated shift reminders ahead of time so no one forgets their slot

03Volunteer Portal & Self Check-In

A portal volunteers actually use, and check-in that runs itself.

Self-serve shifts and hours, QR and kiosk check-in, and a live board of who is on site.

  • Cancel an upcoming shift inside the cutoff you set, and read lifetime and year-to-date hours in the portal
  • Check in from a phone inside the shift window, from a printable QR code, or at a kiosk on a shared tablet
  • Watch a live board of who is checked in, expected, and no-show

04Requirements, Applications &
Background Checks

Every volunteer cleared before they show up.

Requirements, applications and background checks that gate sign-up on their own, with an audit trail on every signature.

  • Gate sign-up by job or by page with waivers, trainings, orientations, document uploads and attestations, each with a validity period
  • Sign natively, typed or drawn, with an audit trail of IP, timestamp, device and document hash
  • Order Sterling background checks from the Background Checks tab, or track checks manually with re-screening alerts

05Hours Tracking & Reporting

Every hour, counted and reported.

Hours credit from check-in and check-out on Volunteer Pro, and from the scheduled shift on Core, with engagement KPIs, per-volunteer summaries, and grant-ready exports.

  • Credit hours from actual check-in and check-out times on Volunteer Pro, or from the scheduled shift duration on Core
  • Read engagement KPIs in the volunteer management hub beside the engagement table
  • Export per-volunteer summaries as grant-ready files when a funder wants the numbers

Frequently Asked
Questions

Does BetterUnite keep volunteers and donors in one database?

Yes. Volunteers are contacts in the same CRM as your donors, with shared tags, soft credits, and history on one record, so you can cultivate volunteers as donors and see a supporter’s full involvement at a glance.

Can volunteers sign up without creating an account?

Yes. The public signup flow is three steps, pick jobs, enter details, get confirmed, with no account required. An emailed confirmation link stays available so volunteers can return anytime to update their info, change their RSVP, or download their credential.

Can we send different instructions to different volunteer roles?

Yes. A conditional rule engine appends job-specific content to confirmation emails, so the setup crew gets arrival instructions and the bake-sale team gets food-safety notes, from one campaign, plus scheduled reminders, info requests, and post-event thanks.

How do group or family signups work?

Multi-quantity registration creates open volunteer slots. One person reserves capacity for a team, family, or corporate group, fills the first slot, and shares a link so the others enter their own details.

How do we re-engage past volunteers?

The Not Registered In filter finds people who volunteered before but have not signed up for your upcoming event, which is a ready-made re-engagement list you can email or tag in bulk.

Can we reuse a volunteer page for a recurring program?

Yes. Copy Volunteer Page duplicates jobs, shifts, and communications as a new draft, built for weekly food banks and monthly cleanups. Linking a page to an event also adds a Volunteer Opportunities button to that event’s public webpage.

Can volunteers donate if they cannot attend?

Yes. Signup pages carry optional donation buttons, pledges, and stock and donor-advised-fund gifts, so cannot volunteer, give instead is built into the checkout.
