Membership Programs
That Run Themselves

BetterUnite is membership management software for nonprofits. Build plans and tiers, bill dues automatically, recover failed payments before members lapse, and give every member a portal to manage their own subscription. Membership records live in the same CRM as donations, so renewals and giving history sit together.

From $5 monthly supporters
to fiscal-year patron programs.

01Membership Plans & Tiers

Plans priced and timed your way.

Unlimited tiers, each with its own dues, benefits, and renewal terms. Bill weekly, monthly, or yearly, run fiscal-year periods, and grandfather plan edits so raising dues never touches current members.

  • Set fixed dues or let members name their own price, with billing cycles that use period multipliers
  • Accept early sign-ups for a fiscal-year period and charge at sign-up or defer billing until the term begins
  • Sell plans on branded sign-up pages with tier offers, and attach benefits to each tier from templates

02Member Portal

Members who serve themselves.

Passwordless login, then members swap the card on file, renew, cancel, and pull their own statements. The portal carries subscriptions, benefits, tickets, and a scannable QR membership ID.

  • Verify identity with two-step email verification and a Magic Link, so the portal never asks for a password
  • Let members charge their card on file, change plans, and view every invoice and subscription in one place
  • Share one supporter portal between donors and members rather than a separate membership login

03Auto-Renewals & Recovery

Dues that collect themselves.

Automatic invoicing bills on schedule and applies each payment to what is due. Failed cards retry on their own, with emails for upcoming charges, failures, and expiring cards.

  • Retry failed cards 1, 5, and 7 days after the failure by default, with every interval customizable
  • Decide whether exhausted retries mark the subscription failed or cancel it, and send cancellation emails
  • Toggle each notice on or off, and run win-back sequences while the org gets its own failed-payment alerts

04The Subscription Console

Run the whole program from one console.

Subscriptions grouped by status with counts, search, filters, and export. Subscription detail carries invoices and payment history, manual subscriptions cover check-paying members, and a payments console splits successful, scheduled, and failed.

  • Group every subscription as Current, Past Due, Expiring, Future, Canceled, or Completed, each with a count
  • Record a check payment against a manual subscription and apply it to the invoice like any other payment
  • Filter the payments console by tab, review retry details on the failed tab, and export payments for analysis

05Member 360 & Messaging

A member record is a donor record.

One page per member carrying contact data, payments, invoices, and benefits in the donor CRM. Post a message to their portal, include or exclude them from email campaigns, and tag in bulk.

  • Treat every member as a CRM contact, so giving history and membership history read from the same record
  • Build an email campaign audience that includes only members, or excludes them, inside BetterUnite Email Marketing
  • Offer household memberships alongside individual plans, all managed from the same membership program

06Reporting

Know what renews before it lapses.

An overview dashboard over custom date ranges, with revenue-per-subscription and subscriptions-per-plan charts. Standing reports cover cards expiring at 90 days and subscriptions at 60, and everything exports.

  • Watch monthly revenue, new members, and active subscriptions on the overview dashboard, with year-to-date charts
  • Fix expiring cards inside the 90-day window before renewal day, pairing the report with proactive member emails
  • Export subscriptions and payments for analysis, pulling the same data the dashboard charts summarize

Frequently Asked
Questions

What does BetterUnite membership management software do?

It runs the full membership lifecycle: build recurring or non-recurring plans, sell them on branded signup pages, auto-bill dues on any cycle, retry failed payments automatically, and give members a passwordless self-service portal with a QR ID card. All of it sits inside the donor CRM, so members are contacts you can segment, tag, and report on alongside their giving.

Can we run fiscal-year memberships, like July through June?

Yes. Custom subscription periods decouple billing from the membership term, so you can accept early signups in November and either charge at signup or delay billing until the period begins. Fixed-cycle plans, such as 18 monthly charges and then stop, are also supported. See membership plans and tiers.

What happens when a member’s card fails?

BetterUnite retries automatically, by default 1, 5, and 7 days after the failure and fully customizable, and sends toggleable emails for failed payments, upcoming charges, and expiring cards. You choose whether exhausted retries mark the subscription failed or cancel it. See auto-renewals.

Can members manage their own membership?

Yes. In the member portal, with two-step email verification and no passwords, members update their card, charge it, cancel, and view subscriptions, invoices, benefits, statements, event tickets, and a scannable QR membership ID.

Can we track members who pay by check?

Yes. Manual subscriptions track members without a card on file. Record the check payment and apply it to the subscription, and automatic invoicing keeps the ledger straight either way.

If we raise dues, what happens to current members?

Nothing. Plan edits are grandfathered by design, so changing a $20 plan to $30 affects only new subscribers. Existing members keep their original terms until you say otherwise.
